Corporate AI Workshop Brief: A Practical Checklist for Indian Teams
Prepare a focused brief for a Claude, ChatGPT or Microsoft Copilot workshop, with useful exercises, safe data and clear follow-up.

Start with the work your team needs to improve
A useful AI workshop begins with a clear business brief. Before choosing Claude, ChatGPT or Microsoft Copilot, identify the repeated tasks that take your team time. Examples include preparing meeting summaries, drafting customer responses, comparing documents, analysing approved spreadsheets and creating first drafts of presentations. Choose two or three priorities for the workshop so participants have enough time to practise and review their outputs.
Define who will attend
List the functions, roles and experience levels in the room. A leadership group needs different examples from an HR, finance, marketing or operations team. Record the expected group size, language preference, delivery mode and available learning time. Explain whether participants already use AI regularly or need help with basic account access and prompting. A short pre-session questionnaire can reveal the most useful starting point.
Confirm tools and access
Ask your IT owner which products, accounts and features participants may use. Check the actual access available on training day, including file upload, document creation and any organisation-approved integrations. Product names alone do not establish feature availability. Run a small access check before the session and prepare an alternative exercise for anyone whose account or device cannot perform a task.
Prepare safe practice materials
Use public, fictional, synthetic or formally approved masked information. Remove personal identifiers, confidential commercial terms, customer records, credentials and other restricted content. Ask the responsible internal owner to approve the practice materials. If your organisation requires a specific commercial workspace, retention policy or security control, include that requirement in the brief. Do not move real company data into a personal account just to complete an exercise.
Design exercises around useful outputs
For each priority, describe the input, task, expected output and review step. For example: turn an approved meeting transcript into a draft action list, then compare the result with the transcript and confirm every owner and deadline. Provide one realistic sample that fits the audience. Keep a second sample for participants to repeat the task independently.
Use this workshop brief checklist
1. Name the business sponsor and the internal coordinator.
2. Select two or three work problems and explain the current process.
3. Identify participant roles, experience and accessibility needs.
4. Confirm approved tools, account access, devices and connectivity.
5. Supply approved practice files and a clear data-handling rule.
6. Specify the output participants should produce for each exercise.
7. Define who checks factual accuracy, privacy and suitability.
8. Agree how questions and follow-up practice will be handled.
9. Choose a small post-workshop pilot and its review date.
10. Record how the team will measure quality, effort and adoption.
Plan the follow-up
A workshop is a starting point for practice. Nominate an owner for a small pilot, provide a place to store approved prompts and collect examples of outputs that need improvement. Compare pilot work against the existing process before making wider changes. Review both time spent and the quality of the final, human-approved result.
