Claude or Copilot for Your Business? A Free vs Paid Guide for India

By Parikshit Khanna | Updated 15 October 2026 | A practical guide for business owners in India
Quick answer: should you choose free or paid?
If you run a business in Delhi, Kolkata or Mumbai, start with the task you need to finish. Try Claude Free for occasional work with approved sample material. If you already use Microsoft 365, check your included Copilot Chat access before paying for an add-on. Upgrade when a tested workflow needs more usage, broader workplace context or business controls. This guide helps you make that decision with tables, examples and prompts you can use today.
Start with the problem that is taking your time
Your customer wants a quotation today. Your sales executive is waiting for the approved price. Your accounts team is chasing a payment, and you still have a long weekly report to read. These are useful places to try AI because you can see whether the finished work is accurate and ready to use.
Write down one task that repeats at least a few times a week. Choose a recent example, remove personal and confidential details, and define the result you want. “Prepare a 90-word reply using this approved product sheet” is a stronger starting point than “improve my business”.
Your problem | A useful first test | When a paid plan may help |
|---|---|---|
You spend too long writing proposals | Try Claude Free with an approved sample brief | You repeatedly hit limits or need a specific paid capability |
Your team already works in Microsoft 365 | Check included Copilot Chat and your account label | You need broader workplace context or priority app features |
Your staff write inconsistent replies | Give either tool one approved policy and a sample complaint | You need shared administration, collaboration or controlled access |
You receive long reports | Ask for decisions, exceptions and source references | Your normal document volume exceeds the access you have |
You cannot see whether AI is worth the cost | Measure total time including checking and corrections | A small pilot shows enough repeatable value to justify the bill |
Claude and Copilot: which one should you try first?
Consider Claude first if your main task is turning a supplied brief, document or table into a clearer draft. You can test proposals, operating instructions, customer FAQs and management summaries. Start with the tools available in your account; a useful workflow does not have to depend on a newly announced feature.
Consider Microsoft Copilot first if your work is already organised around Microsoft 365 and you want help where your team reads email, edits documents or reviews spreadsheets. The features you actually receive depend on your licence, account label, apps and administrator settings. Check these before designing a workflow.
These are practical starting points based on the products’ access patterns, not a claim that one tool always produces better answers. Test the same task and source material in each available option. Judge the checked result, the effort needed and how easily your employees can repeat it.
This guide discusses Microsoft’s everyday and workplace Copilot products. GitHub Copilot is a separate coding product; it is not the focus here.
Is Claude Free enough for your business?
For an early trial, often yes. Claude’s current Free plan lists web search, file creation, code execution and Artifacts; it also allows up to five Projects. Free is a useful place to learn with public information and safe sample files. Availability and limits still matter. See the current feature list: Claude: current plans, features and published pricing
Try Free when you need occasional drafts, a first look at a supplied document or a simple reusable prompt. Consider Pro when you do the work regularly and your measured needs justify more usage or a particular paid feature. Consider Max only after you can explain why the higher allowance is useful to you.
For several employees, assess the Team plan’s administration and collaboration rather than treating a collection of personal subscriptions as a managed company workspace. Current Team plans start at two members. Review the commercial terms and your data requirements before using real business records. Claude Help: Team plans, seats and regional price caveats
Paid Claude plans still have usage limits. Long conversations, attached material, chosen models and tools affect consumption. A larger plan does not remove the need to manage the work you send. Claude Help: usage and conversation limits
Which Copilot are you looking at?
Before comparing prices, identify the product and account. The personal Copilot app, included business Copilot Chat and a paid workplace licence have different entitlements. “Free” business chat generally means no additional Copilot charge for an eligible subscription; the underlying Microsoft 365 plan still costs money.
Option | What it means for you | What to check |
|---|---|---|
Free personal Microsoft Copilot | General assistance under consumer terms | Your personal account and the data you are allowed to enter |
Copilot Chat with an eligible business account | Included business chat without an extra Copilot add-on; supplied files and certain app contexts can provide work information | Your qualifying base plan, administrator settings and displayed account label |
Paid workplace Copilot / Copilot Business | Full licensed experience with priority access and broader organisational context | Assigned licence, supported apps, permissions and the actual work you need |
Optional agents and connected services | Some activities can involve separate consumption charges | Whether billing is enabled, who owns the agent and the spending limit |
Can you use Copilot in Excel, Word and Outlook for free?
Check the label under your work account in Microsoft 365. Microsoft currently documents three labels: Copilot Chat (Basic), M365 Copilot (Basic) and M365 Copilot (Premium). The first does not include Copilot in Word, Excel, PowerPoint and OneNote. The second can provide standard in-app access without an add-on. Premium provides the full priority experience. This is why a blanket answer about “free Excel Copilot” can be misleading. Microsoft Support: how to identify your Copilot licence
Included chat and a paid licence also differ in how much workplace information they can use. Do not assume that an included chat can automatically search every company file. Microsoft’s comparison explains the differences, including Outlook access and limited versus full work-data reasoning. Microsoft Support: Copilot with and without an add-on
Ask your administrator to test the exact task in your actual account. Email-related features can depend on Exchange Online; some file features depend on OneDrive, and meeting-related features depend on the relevant Teams settings. A button being visible does not establish that every advertised workflow is ready. Microsoft Learn: workplace Copilot requirements
Free or paid? Use this buying checklist
You can make a sensible decision with four questions: Can your current account finish the task? Does the checked output meet your standard? Are limits or missing features stopping regular work? Do you need business administration or data controls? Buy against an observed need, and begin with a small number of appropriately licensed users.
Stay with a free or included option while you are learning, working occasionally or testing a bounded task with approved sample data.
Consider an individual paid Claude plan when one person uses it repeatedly and needs more allowance or a specific feature.
Assess Claude Team when shared administration and collaboration matter for your employees.
Pilot paid Microsoft Copilot where broader workplace context or priority app access removes a real bottleneck.
Consider using both only when you can name two distinct useful workflows and support the extra cost and review effort.
Keep optional metered services under a named owner. Confirm whether an agent or connector adds another bill.
What should you budget in India?
Prices below are a dated reference checked on 15 October 2026. Claude’s figures are published US prices, not an Indian checkout quotation. Currency, regional pricing, taxes and purchase channel can change the final amount. Microsoft’s India offer also has eligibility and billing conditions. Open the official checkout before committing.
Plan or offer | Published reference price | Read before buying |
|---|---|---|
Claude Free | $0 | Usage and feature limits apply |
Claude Pro | $20 monthly or $200 for a year upfront | Individual plan; published US price |
Claude Max | 5x: $100 monthly; 20x: $200 monthly | Higher allowance, with usage limits |
Claude Team Standard | $25/member monthly; $20/member/month billed annually | Minimum two members; published US prices; tax extra |
Claude Team Premium | $125/member monthly; $100/member/month billed annually | Assign heavy-use seats where justified |
Microsoft Copilot Business India advertised add-on | From ₹1,495.73/user/month, paid yearly | Advertised offer; GST extra; qualifying base plan is separate |
Check the full bill before you approve a subscription
Claude price references: Claude: current plans, features and published pricing and Claude Help: Team plans, seats and regional price caveats. Microsoft India offer reference: Microsoft: Copilot plans and advertised India pricing
For Microsoft, confirm whether the price is an add-on or a bundle that includes a base plan. Check commitment length, renewal terms, offer eligibility and any agent consumption. Monthly billing is not automatically the same as a month-to-month commitment. For Claude, check the annual upfront total and the minimum seats if you choose Team.
Use a simple pilot budget. Fictional example: 120 tasks a month, with six minutes saved per checked task, would free 12 hours. At an assumed internal value of ₹500 an hour, that is ₹6,000 of capacity value. If the full monthly cost were ₹4,000, the difference would be ₹2,000 in estimated capacity value. It is not guaranteed cash savings. Include setup, training, checking and rework before judging the result.
Six everyday business use cases you can try this week
Use the following examples with the approved tools and accounts you have. Start with anonymised or invented records. These are suggested exercises, not claims that every subscription includes an automatic connection to your systems.
Department | Ask AI to prepare | You still check |
|---|---|---|
Sales | A quotation reply and missing-information list | Prices, stock and commitments |
Customer service | A calm reply based on an approved policy | Refunds, warranty and escalation |
Stock and purchasing | Available-stock calculations and exceptions | Physical stock, receipts and demand |
Accounts | Invoice balances and reminder drafts | Reconciliation, due dates and recipients |
Marketing | A useful post from a verified service brief | Claims, offer details and links |
Owner reporting | A short decision and action list | Evidence, owners and deadlines |
Sales: turn an enquiry into a clear next action
Give the tool an anonymised enquiry, your approved product information and the current price sheet. Ask for a short reply, the missing questions and an internal next-action note. You should see a clear separation between what the customer said and what your team still needs to confirm.
Check every price, delivery commitment and inclusion before using the draft. Count how many minutes you spend preparing and correcting ten comparable replies. A shorter writing time is useful only if you still send accurate information and follow up when promised.
Before you use the result: Approve the recipient, offer, price and next action before sending.
Customer service: prepare consistent replies without inventing policy
Use a fictional complaint and an approved returns or service policy. Ask for a calm response that acknowledges the problem, identifies information needed and explains the next permitted step. Give the tool an escalation contact rather than expecting it to decide an exception.
You should verify whether the reply makes promises your policy does not support. Never accept an invented refund, warranty period or resolution deadline. Keep the customer history separate from the pilot sample. Track how often the response needs a policy correction and whether the reviewer can find the supporting rule quickly.
Before you use the result: Match every promised remedy to the approved policy and case facts.
Stock and purchasing: find records that need attention
Start with a small, checked stock table containing item ID, quantity, reserved units and approved reorder threshold. Ask for an exceptions list and questions for the storekeeper. You can compare whether each tool follows your definitions and explains its calculations clearly.
Confirm stock figures in your inventory system or physical count before acting. A low balance is a review signal; it does not automatically justify a purchase. Ask the responsible person to consider confirmed demand, pending receipts and supplier lead time. Do not allow a draft summary to change your stock records.
Before you use the result: Recalculate available stock and confirm pending orders before any purchase.
Finance administration: organise invoice follow-ups from verified balances
Provide synthetic invoice IDs, due dates, original amounts and recorded receipts. Set the reporting date explicitly. Ask for a balance summary, missing-data warnings and draft reminders. You are testing document preparation and organisation rather than delegating accounting judgment.
Recalculate totals in a spreadsheet and match receipts to invoice IDs. Keep disputed balances and unallocated payments visible. A draft must not invent charges, tax treatment or payment promises. Measure the time needed to obtain a reconciled, approved summary, including all corrections, rather than counting the number of reminders generated.
Before you use the result: The accounts owner approves amounts, due dates and recipients.
Marketing: create useful content from an approved brief
Supply a verified service description, the intended audience, a real customer question and one call-to-action link. Ask for an educational post that explains a business problem and a practical next step. Compare clarity, factual accuracy and how much editing your team needs.
Reject invented testimonials, guaranteed results and unsupported superlatives. Confirm that the booking link opens correctly and that the advertised offer exists. Use images you have permission to publish. Review the final post as a customer would: can you understand the service, its limits and how to enquire without reading vague promotional language?
Before you use the result: Approve claims, offer details, image rights and links before publishing.
Owner reporting: see exceptions before reading every update
Use a short task register with owner, deadline, status and evidence. Ask for completed work, overdue actions, customer commitments and decisions requiring your attention. Require the record ID beside each point so that you can inspect the underlying information.
Check that the summary has not confused a plan with a completed task. Missing dates or owners should remain unknown. Compare the output with your normal review on the same records. A useful report helps you assign a specific decision or action; a long narrative that hides unresolved issues adds work.
Before you use the result: Verify completion evidence and assign each unresolved action to a person.
Delhi, Kolkata and Mumbai: three practical examples
These city examples are fictional teaching scenarios. They show how you can define a useful task; they are not customer case studies or claims about businesses in a particular city.
Delhi: a distributor prepares quotation follow-ups
You run a fictional distributor with 15 enquiries awaiting review. Five have an approved quotation, six need a specification and four have no next-contact date. Your test asks each tool to classify the same anonymised records and draft a follow-up for the five quotation cases. The sales lead checks the classification and wording. You measure review time and missing-detail detection; you do not ask AI to estimate demand or invent conversion probabilities.
Kolkata: a service firm improves project handovers
You manage a fictional service firm handing three assignments from sales to delivery. Your sample contains approved scope, promised dates, responsible employees and unresolved client questions. Ask for one handover checklist per assignment and a separate list of contradictions. The delivery lead checks the result against the signed scope. You measure how many clarification messages remain after the handover. You should pause any instruction that conflicts with the agreed work rather than accepting an AI-generated compromise.
Mumbai: a retailer checks an order and stock summary
You operate a fictional retailer with two storage locations. Your pilot uses item IDs and dummy quantities, not customer names. Ask for available stock, reserved units and exceptions requiring a storekeeper's check. One location has a pending receipt that has not been accepted; the tool must keep that separate from usable stock. The storekeeper verifies quantities before the owner decides whether to order. Your comparison rewards traceable calculations and clear unknowns, not a confident purchasing recommendation.
Three prompts you can copy into Claude or Copilot
Use these prompts in a chat or supported app that can accept the supplied text. The dummy figures are included so you can check the result yourself. You do not need an automatic business-system integration for these first tests.
Sales follow-up with controlled prices
You are preparing a draft for my sales manager. Use only this dummy data: enquiry E01 requests 20 desk lamps; approved unit price ₹800; delivery charge not confirmed; customer asks for delivery by 25 November; availability not confirmed. Create a reply under 90 words, then list the facts needing confirmation. Do not promise delivery, invent discounts or calculate taxes. Label the output DRAFT. Show the item subtotal separately and explain its calculation.
Check the answer: Check that 20 × ₹800 = ₹16,000. Confirm stock, delivery cost and delivery date before sending. Any final tax calculation must follow your checked business records and authorised process.
Invoice reminder after a partial payment
Prepare a review draft using these synthetic records. Reporting date: 20 November 2026. Invoice I101: ₹24,000, due 10 November, receipts ₹9,000 correctly allocated. Invoice I102: ₹18,000, due 25 November, receipts ₹0. Show each outstanding balance and whether it is overdue as of the reporting date. Draft a polite reminder only for the overdue invoice. Do not add fees, threats or payment commitments. Flag missing information instead of guessing.
Check the answer: Confirm I101 outstanding is ₹15,000 and I102 outstanding is ₹18,000. Combined outstanding is ₹33,000; only ₹15,000 is overdue on the stated date. Verify actual records and recipient before sending.
Stock exceptions without automatic purchasing
Review this dummy stock snapshot. Item A: on hand 30, reserved 12, reorder threshold 20, pending receipt 10 not yet accepted. Item B: on hand 25, reserved 3, reorder threshold 15, pending receipt 0. Define available stock as on hand minus reserved. Calculate it for each item. List items below threshold and questions for the storekeeper. Keep pending receipts separate. Do not create a purchase order or recommend quantities without confirmed demand and lead-time information.
Check the answer: Check available stock: A = 18 and B = 22. Only A falls below its stated threshold. Confirm physical/system stock, reservation accuracy and the pending receipt before deciding any action.
Keep your company information under control
Your choice of account matters as much as your prompt. Claude Free, Pro and Max are consumer products with their own data settings and terms. Anthropic says its commercial products do not use your inputs and outputs for model training by default, with exceptions such as explicit feedback or opt-in. Confirm the applicable policy for your workspace. Anthropic Privacy: commercial model-training policy
Microsoft says enterprise-protected Copilot Chat prompts and responses are not used to train foundation models. That does not mean nothing is logged or retained. Business permissions and retention settings still apply, and generated web-search queries have separate Bing handling. Personal Copilot follows consumer terms. Microsoft Learn: business privacy and protections
For your first pilot, replace customer names with enquiry IDs and remove account numbers, personal contact details and unnecessary confidential material. Give the tool the smallest approved source pack needed. If you later connect company files, check access permissions first; AI can make existing oversharing easier to discover.
Your seven-day action plan
At the end of the week, keep the workflow only if a colleague can repeat it and the checked output meets your standard. Cleaner records or clearer instructions may be a better next step than a more expensive plan.
Day | Your action | What to record |
|---|---|---|
1 | Pick one repeated task and a reviewer | Current time and common errors |
2 | Prepare ten safe sample records | Approved facts and missing fields |
3 | Test the account you already have | Whether access and limits are sufficient |
4 | Compare another available option on the same sample | Corrections and total completion time |
5 | Test a missing or contradictory input | Whether the tool flags the problem |
6 | Let another employee repeat the task | Help needed and review quality |
7 | Choose: continue, improve or pilot paid access | Named owner, cost and review date |

Frequently asked questions
Should you start with Claude Free or a paid plan?
Start with Free for a safe, limited trial if its current access meets your task. Consider paying when regular use, an observed limit or a particular needed feature justifies the cost. For a managed company workspace, assess business plans separately from individual subscriptions.
Is Microsoft Copilot free for a small business in India?
The personal free app and included business Copilot Chat are different products. Eligible Microsoft 365 users can receive business chat without an extra Copilot add-on. The underlying subscription, full licensed workplace features and some agents can have separate costs.
Can you use Copilot in Excel without buying an add-on?
It depends on your account label and entitlement. Microsoft documents Copilot Chat (Basic), M365 Copilot (Basic) and M365 Copilot (Premium). Some Basic users have standard in-app access; others do not. Check the exact label and test your required task with your administrator.
Should you buy both Claude and Microsoft Copilot?
Begin with one useful workflow and the access you already have. Consider both when they solve different repeated tasks and the measured benefit supports two subscriptions. Compare total work time, including checking, rather than choosing from a single impressive answer.
Can these tools work directly with WhatsApp, Tally or your CRM?
A prompt does not create a connection to another system. You can begin with an approved, anonymised export or supplied text. A live integration requires supported capabilities, permissions and setup, and can introduce separate costs. Confirm the exact connection before planning automation.
Can you prepare customer messages in Hindi, Bengali or Marathi?
You can test a request for a draft in the language your customer needs. Have a fluent reviewer confirm meaning, names, prices and commitments. Keep one approved factsheet behind every language version and check that a shorter message has not changed the offer.
Can AI approve your quotation or decide GST treatment?
Keep commercial approval and tax decisions with the responsible people. AI can help organise supplied information and prepare a draft. Your accounts or sales owner must verify the records, calculations and applicable treatment before anything is issued.
How do you enquire about Claude and Copilot training in Delhi, Kolkata or Mumbai?
Use the contact page or Topmate links in this guide. Tell Parikshit Khanna your business type, team size, location, existing tools and two repeated tasks. Confirm workshop scope, access requirements, dates, fees and onsite logistics before booking.
